Did you know that small business owners spend an average of five hours a month just on payroll? Yeah, I about fell out of my chair when I read that too! That’s basically an entire workday every single month, gone, just crunching numbers and making sure Dave in accounting actually gets his paycheck on time. So when I started digging into Patriot Payroll for my own small business a couple years back, I had some pretty high expectations.

Let me back up a bit. I run a tiny consulting gig with three employees (well, two employees and my cousin who helps out part-time), and payroll had become this monster I dreaded every other Friday. I’d tried a couple other services before landing on Patriot Payroll, and honestly, I want to share what actually happened when I made the switch.

Why I Even Considered Patriot Payroll

My old payroll provider was eating my lunch money, literally. I was paying almost $80 a month for features I wasn’t even using. A friend of mine (shoutout to Marcus, he owns a landscaping company) mentioned Patriot Payroll during a coffee chat, and he seemed genuinely happy with it. That’s rare! Most business owners just complain about their software.

So I did what any reasonably skeptical person does, I googled the heck out of it. I found reviews, checked out their official site, and even watched some sketchy YouTube tutorials at 11pm when I probably should’ve been sleeping.

Setting Up Was… Actually Not Terrible

I’ll be honest, I expected setup to be a nightmare. Every payroll transition I’d heard about sounded like pulling teeth. But Patriot Payroll’s onboarding process was surprisingly smooth, took me maybe two hours total spread across a weekend.

  • Uploading employee information was straightforward, no weird formatting requirements
  • Tax setup asked the right questions without overwhelming me with jargon
  • Direct deposit configuration worked on the first try (this NEVER happens for me with tech stuff)

Now, I did mess something up. I accidentally entered my cousin’s pay rate wrong, like typed an extra zero, and he got a paycheck for way more than he should’ve. That was a fun phone call to make, ha! Lesson learned: always double-check those numbers before you hit submit, folks.

The Pricing Thing Everybody Asks About

Patriot Payroll offers two main plans, Basic and Full Service, and the pricing is genuinely competitive compared to other options on the market. Basic starts around $17 a month plus $4 per employee, which for my small team meant I was paying way less than before.

The Full Service plan handles your tax filings for you automatically. I upgraded to this after messing up a quarterly tax filing myself (don’t ask, it involved a lot of coffee and panic). Worth every penny, honestly.

What I Actually Liked

The customer support team has been solid every time I’ve called them. No robotic scripts, just actual humans who seem to know what they’re talking about. One rep, I think her name was Sandra, spent twenty minutes helping me understand overtime calculations for my part-time cousin situation.

The dashboard is clean too. I’m not a tech wizard by any means, but I could navigate it without wanting to throw my laptop across the room, which is more than I can say for my previous provider.

What Bugged Me

Not everything was perfect though, let’s be real here. The mobile app feels a little clunky compared to the desktop version. I tried running payroll from my phone once while waiting at the dentist’s office and gave up halfway through, switched back to my laptop later that night.

Also, if you need really advanced HR features or complex benefits administration, Patriot might feel a bit limited. It’s built more for straightforward small business needs, not massive corporations with complicated org charts.

Who Should Actually Use This Thing

Based on my own experience, Patriot Payroll works best for small businesses with straightforward payroll needs, think under 20 employees, simple pay structures, nothing too fancy. If you’re running a bigger operation with complex benefits packages or multiple state tax situations, you might want to look elsewhere or at least test the waters first.

  • Small businesses wanting affordable, no-frills payroll processing
  • Owners who value good customer support over flashy features
  • Anyone tired of overpaying for payroll software with unused bells and whistles

My triumph moment came about three months in, when I realized I hadn’t thought about payroll stress once that whole month. That’s when I knew we’d made the right call switching over.

Wrapping This Up

Look, payroll software isn’t exactly thrilling dinner conversation, but getting it right matters more than people realize. Patriot Payroll worked well for my situation, saved me money and headaches, but your mileage may vary depending on your business size and specific needs.

Before committing to anything, definitely customize your research based on your own employee count, budget, and how complicated your payroll actually is. And please, for the love of all things good, double-check your numbers before submitting payroll (learn from my cousin’s near-windfall experience).
